Privacy policy

How Executive Services collects, uses, protects, and retains your personal information, in line with applicable Canadian privacy legislation including PIPEDA and provincial equivalents.

Information we collect

  • Contact details: name, email address, phone number, and company name.
  • Booking details: pickup and drop-off locations, dates, times, passengers, flight numbers, and special requests.
  • Verification documents: where reasonably required for vehicle rental verification, driver's licence details and images and other documentation necessary to verify identity, licensing eligibility, or booking requirements. Verification documents are treated as sensitive information and access is restricted to authorised personnel. We do not request or collect photographs of payment cards.
  • Payment metadata returned by our payment processor: transaction ID, card brand, last four digits, expiry metadata, and secure payment-method / customer references.
  • Technical data: basic device and usage information used to operate and secure the website.

How we use your information

  • To respond to enquiries and prepare quotations.
  • To verify identity, prevent fraud, and assess rental eligibility.
  • To administer bookings, rental agreements, deposits, charges, and refunds.
  • To meet legal, tax, insurance, and accounting obligations.
  • We do not sell your personal information and do not share it for third-party marketing.

Payment information

  • Payment transactions are processed through our third-party payment processor (Square). Executive Services does not store full payment card numbers or CVV / security codes in its application database, and does not require customers to submit photographs of their payment cards.
  • Where a customer, corporate client, or authorised affiliate elects to maintain a payment method on file, the payment credentials are securely retained by the payment processor. Executive Services may receive and retain limited payment metadata and secure payment-method references, such as the card brand, last four digits, expiry metadata, transaction identifiers, and payment-method / customer references necessary to administer bookings and payments.
  • A payment method retained on file is charged only for confirmed reservations, approved transportation or rental charges, cancellation or no-show charges where contractually applicable, and other charges you have expressly authorised. Each charge creates an auditable transaction record.

Retention and security

  • Verification documents are retained only as long as required for the booking, deposit release, and applicable legal or accounting obligations, then securely deleted.
  • Access is restricted to authorised personnel on a need-to-know basis.
  • Data is stored on secured, access-controlled infrastructure with encryption in transit.

Your rights

  • You may request access to, correction of, or deletion of your personal information, subject to legal retention requirements.
  • You may withdraw consent for non-essential communications at any time.
  • Requests can be sent to our contact address and are answered within a reasonable time frame.

Service providers

  • Payment processing, website hosting, database, and email delivery providers acting on our instructions.
  • Providers may process data outside your province or country and are bound by contractual safeguards.
