Vehicle rental policy

Who may rent, what identification is required, and how our vehicles must be used. Payment, deposit and cancellation terms are covered in their own policies.

Eligibility and identification

Before every rental, the primary renter must provide:

  • A valid driver's licence held for the minimum period required by our insurer.
  • Valid automobile insurance extending coverage to privately rented vehicles, where applicable.
  • A credit card in the primary renter's name.
  • The name on the driver's licence must exactly match the name on the credit card.
  • Only drivers listed and approved on the Rental Agreement may operate the vehicle.

Identity verification

Before a booking is confirmed, you may be asked to securely submit:

  • Front and back of the driver's licence.
  • We never request photographs, scans, or images of your payment card, and we never request or store your CVV / security code.
  • Documents are used only to verify identity, prevent fraud, and administer the rental, and are handled as described in our Privacy Policy.

Mileage and fuel

  • 300 kilometres included per rental day.
  • Additional kilometre packages may be purchased before or during the rental.
  • Kilometres not covered by a package are charged at the applicable vehicle rate.
  • Vehicles must be returned at the same fuel level as at pickup; otherwise a refuelling charge plus service fee applies.

Permitted use of the vehicle

The following are prohibited for the entire rental period:

  • Smoking, vaping, or use of illegal substances in or around the vehicle.
  • Unauthorized drivers.
  • Ride-sharing or commercial passenger transport.
  • Commercial use of any kind unless approved in writing.
  • Off-road or unmaintained-road driving.
  • Towing unless authorized in writing.
  • Transporting animals without prior approval and an approved carrier.

Mechanical disclosure

Where a vehicle has a known mechanical condition at the time of delivery, we disclose it in writing before the rental begins and may require your electronic acknowledgement.

  • Example: “The customer acknowledges that the vehicle's air conditioning system may not be operational at pickup and agrees to proceed under these conditions.”
  • Disclosures are attached to your Rental Agreement and time-stamped when acknowledged.

Damage, fines, and liability

  • Renters are responsible for damage, fines, tolls, and traffic violations incurred during the rental period, plus an administrative fee per item processed.
  • Proof of valid insurance may be required before a vehicle is released.
  • Accidents, theft, or damage must be reported to Executive Services and the police within 24 hours.
  • Items left in vehicles are returned where possible but remain the owner's responsibility.

Cancellations

  • Self-drive vehicle rentals follow the vehicle rental cancellation tiers: more than 72 hours before pickup, full refund; 24 to 72 hours, a cancellation fee equal to one day's rental charge; less than 24 hours, 50% of the rental charges are non-refundable.
  • A no-show — no appearance or contact within 2 hours following the scheduled pickup time — makes the rental charges non-refundable.
  • The 12-hour chauffeur and transfer terms do not apply to self-drive rentals. Full terms are in the Cancellation & Refund Policy.
